HubSpot Migration Services

HUBSPOT MIGRATION YOU ONLY HAVE TO DO ONCE

Get the data model right, and everything else follows. Reporting stays trusted. Automation is smooth and new reps ramp on a system that makes sense. You migrate once, and your revenue engine grows from there.

HS MIGRATION-1

WHAT IS HUBSPOT MIGRATION?

A HubSpot migration is the work of moving your CRM data, records and revenue process onto HubSpot, then getting your teams working in it. Done properly it covers three things: the technical build, the commercial decisions about what the new engine should do, and the adoption work that turns a live portal into daily practice.

  • Designing the HubSpot data model, objects and lifecycle stages

  • Mapping, cleaning and migrating records, history and attachments

  • Rebuilding automation, reporting and integrations on the new model

  • Training your marketing, sales and service teams into the new process

Most migrations are scoped as a data transfer. The licence goes live and the investment never lands. A migration is finished when the numbers are trusted, the automation runs, and the team works through the system rather than around it.

That is what we scope for, and what we price against.

SIGNS YOU NEED A HUBSPOT MIGRATION PARTNER

illo01 (2)

Nobody can tell you what's moving

You have years of records, custom fields nobody remembers creating, and integrations that someone set up and left. Ask what actually needs to come across and you get three different answers. Until that is decided, every migration quote you receive is a guess, and so is the timeline.

illo02 (2)

The contract clock is running

You are paying for the system you are leaving and the one you are moving to. The pressure is to get live, so scope narrows to whatever can be done by the renewal date. The decisions that get deferred are the structural ones, and those are the expensive ones to revisit.

illo03 (2)

You've been live before and it didn't stick

A previous rollout technically succeeded. The data arrived, the portal was configured, and the team carried on working in spreadsheets. Adoption was treated as training at the end rather than a design constraint from the start, so the licence renews and the investment never lands.

COMMON MIGRATIONS WE RUN

square01 (1)

Salesforce to HubSpot

The most common migration we run, and the one most often underestimated. Salesforce structures rarely translate one to one - custom objects, record types and years of validation rules all have to be resolved into a HubSpot model that works. We design that model first, then migrate into it.

square2

Spreadsheets to CRM

You have grown on shared sheets, an inbox and systems never built for this. Nothing is wrong with the data except that it lives in nine places. We design the model once and consolidate you into HubSpot, so AI and automation can do the work rather than you typing things twice.

square3

Pardot, Marketo or Pipedrive

Marketing automation and lightweight CRMs bring their own problems - nurture logic built over years, scoring nobody can explain, and deal stages that reflect how the tool worked rather than how you sell. We rebuild the process in HubSpot rather than reproducing the old one.

HOW WE WORK

icon-diagnose@2xDiagnose

We audit the system you're leaving. What data exists, what condition it's in, what integrations depend on it and what genuinely needs to move. You get a scoped migration plan with a fixed sequence, so the cost and the timeline are known before anything is touched.

icon-design@2xDesign

Objects, properties, lifecycle stages, pipelines and ownership, mapped to how your business actually sells rather than how the old system happened to be set up. This is the step most migrations skip, and the one that decides everything after it.

icon-build@2xBuild

We migrate into the new model, then rebuild the automation, reporting and integrations on top of it. Data is reconciled against source records before go-live, and your team is trained into the process as it is built, not briefed on it afterwards.

icon-grow@2xGrow

After go-live we stay. Quarterly reviews, adoption monitoring and 90-day sprints of improvement, because a migration is worth what the business does with it in year two, not what landed on launch day.

WHY CHOOSE DIGITAL LITMUS FOR YOUR HUBSPOT MIGRATION

hexa-2100+ portals migrated

Salesforce, Pardot, Marketo and Pipedrive, across 10+ years of HubSpot work. We have met the edge cases already - the custom objects that don't map, the history that has to be preserved, the integration nobody documented.

hexa-3Accredited, not self-appointed

HubSpot Platinum Partner and Onboarding Accredited. Not a freelancer who read the documentation, and not a marketing agency that added migration to the list. Platinum Partner means HubSpot has given us the stamp of excellence.

hexa-5Architecture not data import

Most migration quotes price the transfer. We design the target data model first, because the structure you land in decides what your automation, reporting and AI can do for the next three years. Move too fast and you will pay twice.

hexa-4Commercial thinking

What to migrate, what to leave, what to rebuild and what to retire are commercial calls with a cost attached. We make them with you, in points you can see, so scope is a decision rather than a surprise on the invoice.

hexa-18Adoption from the outset

A live portal is not a return on investment. Teams are trained into the process as it is built, and adoption is monitored after go-live, because the migration only pays back when people work through the system rather than around it.

hexa-6Clients who stay

We've retained clients continuously since 2014. Our commercial model depends on the engine still working in year three, which is a different incentive from a partner paid to migrate you and move on.

Our Ethos

STRATEGIC, SYSTEMATIC AND INTEGRATED

Strategic

Without a clear strategy you migrate the wrong things. Every model we design starts with clarity on who you win, why you win and where the growth actually is. Move everything and you have imported the past. Move what matters and you have built a foundation.

Systematic

Without systems, results don't repeat. Good months you cannot explain, forecasts that depend on who you ask. We build processes that make consistent execution the path of least resistance, not an act of effort or memory.

Integrated

When platform, process and people sit in silos, revenue leaks in the gaps between them. A migration that lands the data but not the team has moved the silos, not removed them. Integration is what makes growth compound instead of stall.

FREQUENTLY ASKED QUESTIONS

How much does a HubSpot migration cost?

It depends on what you're moving and how much of it needs rebuilding, but it can start from as little as £500 and run into many thousands. We price in points rather than hours. Every item in the migration is sized in points, so you see the cost of the work before it starts and can decide what is in and out of scope.

How long does a HubSpot migration take?

A straightforward migration runs in weeks. A complex one, with custom objects, multiple systems or heavy automation to rebuild, runs across one or two 90-day sprints. The assessment gives you a scoped sequence up front, so the timeline is a plan rather than an estimate.

Can you migrate us to HubSpot from Salesforce?

Yes. Salesforce is the most common migration we run, and we've migrated 100+ portals including from Pardot, Marketo and Pipedrive. Salesforce structures rarely map one to one, so we design the target HubSpot data model before moving anything.

Will we lose our data or history?

No. Contacts, companies, deals, activity history and attachments come across, and we reconcile the migrated records against the source system before go-live. What we do question is whether everything should come across. Dead records and fields nobody uses are worth leaving behind, and that is a decision we make with you.

What happens to our reporting and automation?

Both get rebuilt on the new data model rather than copied across. Workflows, scoring and dashboards that made sense in the old system usually reflect the old system's limitations. We rebuild them around how your business actually sells, which is the point at which automation and AI start working properly.

How do you get our team to actually use HubSpot?

Adoption is designed in, not trained on at the end. Your teams are involved as the process is built, so the system reflects how they work, and we monitor adoption after go-live. A live portal nobody works in is the most common way a migration fails.

Can you migrate us from spreadsheets rather than a CRM?

Yes, and it's a common starting point. Businesses that have grown on shared sheets and an inbox usually have good data in nine different places. We design the model once, consolidate into HubSpot, and give you a CRM where automation can do the work.

What size of business do you work with?

Small-to-medium B2B companies with meaningful sales complexity, typically 50 to 500 employees, though if you are smaller with complex needs there are no hard limits. The common factor is a business where growth has outpaced the systems supporting it.
