HubSpot Onboarding Services
HUBSPOT ONBOARDING DESIGNED AROUND YOU
You are paying for the licence from day one. HubSpot's own onboarding is coaching, so they advise and your team does the work. We design the model around how your business actually runs, build it, and train your people into it before go-live.
We are a certified Platinum HubSpot partner
WHAT IS HUBSPOT ONBOARDING?
HubSpot onboarding is the work of configuring HubSpot around your processes and getting your teams working in it. HubSpot requires it for Professional and Enterprise licences. You can buy it from HubSpot directly, where a consultant guides you and your team does the build, or from an accredited partner, who does the work with you.
-
Designing your data model, objects and lifecycle stages
-
Configuring pipelines, properties, automation and reporting
-
Importing and cleaning the data you are bringing with you
-
Training your teams into the process as it is built, not after go-live
Most onboarding is scoped as a setup task. Someone works a checklist, the portal goes live, and nothing about how the business runs was designed into it. That is why the automation does not work and nobody trusts the reporting. You cannot automate what was never designed.
We design the model first, configure against it, then train your teams as we build.

CAMBRIDGE SPARK | TOM PHILLIPS

“Digital Litmus helped us build the HubSpot foundations we needed to scale. We can now trust our pipeline data, our sales team is more effective, and marketing and sales are finally working in sync. We're ready to accelerate the next stage of our growth journey."
SIGNS YOU NEED A HUBSPOT ONBOARDING PARTNER
The licence is live and nothing has moved
You bought HubSpot weeks ago. Someone was going to own the setup, then quarter end happened. HubSpot's onboarding needs about ten hours a week from your side, your team does not have them, and the 90 days runs out whether you use it or not.
It got set up, and nobody uses it
The portal exists. So do the spreadsheets, the personal inboxes and the deals that live in someone's head. It was configured the way HubSpot comes out of the box rather than the way your business runs, so working through it costs more effort than working around it.
Nobody can agree what good looks like
Ask three people what a qualified lead is, or when a deal moves stage, and you get three answers. Configuring HubSpot before that is settled just encodes the disagreement. Every report built on it will then be argued with rather than used.
WHO WE ONBOARD
New to HubSpot
You have bought the licence and want it set up properly first time. We design the data model, configure against it, import what you are bringing with you, and train your teams before go-live. No checklist you have to work through yourself.
Set up, but stalled
The portal is live and the team works around it. We audit what is there, keep what works, and rebuild the rest around how your business actually runs. Usually faster than starting again, and it does not waste the configuration that was right.
Adding a new hub
Sales is running and you are adding Marketing, Service or Operations Hub. The risk is a second silo inside one platform. We design the new hub into the model you already have, so reporting stays joined up across the lifecycle.
HOW WE WORK
Diagnose
We start with how your business runs. Who you win, how work flows, what has to be reported on, and what your teams do today instead of using HubSpot. You get a scoped onboarding plan with a fixed sequence, so cost and timeline are known before anything is configured.
Design
Objects, properties, lifecycle stages, pipelines and ownership, designed around your process rather than the HubSpot default. This is the step a checklist onboarding skips, and the one that decides whether your reporting and automation work later.
Build
We configure against the model, then build the automation and reporting on top of it. Your data comes in clean. Your teams are trained as we build, so they arrive at go-live already working the way the system expects.
Grow
After go-live we stay. Quarterly reviews, adoption monitoring and 90-day sprints of improvement, because onboarding is worth what your business does with HubSpot in year two, not what went live on launch day.
WHY CHOOSE DIGITAL LITMUS FOR YOUR HUBSPOT ONBOARDING
Accredited, not self-appointed
HubSpot Platinum Partner and Onboarding Accredited. The accreditation is granted for onboarding work HubSpot has verified, not for saying you do it. Not a freelancer who read the documentation, and not a marketing agency that added onboarding to the list.
100+ portals built
Across 10+ years of HubSpot work. We have met the edge cases already: the process that does not fit the default object model, the reporting requirement nobody mentioned until go-live, the team that will not give up its spreadsheet.
Design before configuration
Most onboarding starts in the portal. We design the target model first, because the structure you land in decides what your automation, reporting and AI can do for the next three years. Configure first and you pay to unpick it later.
We do the work, not the homework
HubSpot's own onboarding advises and your team executes, which is why so much of it stalls. We build alongside your team instead, so onboarding does not depend on someone finding ten hours a week they do not have.
Adoption designed in from the start
A live portal is not a return on your licence. Teams are trained into the process as it is built, and adoption is monitored after go-live, because onboarding only pays back when people work through the system rather than around it.
Clients who stay
We have retained clients continuously since 2014. Our commercial model depends on the engine still working in year three, which is a different incentive from a partner paid to set you up and move on.
Our Ethos
STRATEGIC, SYSTEMATIC AND INTEGRATED
Strategic
Without a governing strategy, onboarding optimises for the wrong things. You get a tidy portal that reports on activity nobody makes decisions with. Every model we design starts with clarity on who you win and why, so the configuration serves the commercial goal.
Systematic
Without systems, results do not repeat. Good months you cannot explain, forecasts that depend on who you ask. We configure so that doing the work properly is the path of least resistance, rather than something that relies on the one person who understands HubSpot.
Integrated
When platform, process and people sit in silos, revenue leaks in the gaps between them. Onboarding that lands the software but not the team has bought a licence, not a system. Integration is what makes growth compound instead of stall.

HUBSPOT ONBOARDING FAQS
How much does HubSpot onboarding cost?
It depends on how many hubs you are onboarding and how much design work your processes need.
We price in points rather than hours, so every item is sized before the work starts and you decide what is in and out of scope. Onboarding with a partner also replaces HubSpot's own onboarding fee, so compare the total rather than the line item.
How long does HubSpot onboarding take?
A single hub with straightforward processes runs in weeks.
Multiple hubs, or a business with real sales complexity, runs across a 90-day sprint. You get a scoped sequence up front, so the timeline is a plan rather than an estimate.
Is HubSpot onboarding mandatory?
Yes for Professional and Enterprise licences. You can take HubSpot's own onboarding, or work with an accredited partner instead.
HubSpot's version is a guided programme where their consultant advises and your team does the configuration. A partner does the work with you.
How long does a HubSpot consulting project take?
A Revenue Engine Assessment takes 90 minutes, with a written diagnostic back within days. A full RevOps Audit runs over several weeks for complex engines. Delivery then runs in 90-day sprints, so you get working improvement each quarter rather than waiting for a project to finish.
Should we onboard with HubSpot directly or with a partner?
Directly works if you have someone internal with the time and the platform knowledge to build it, because HubSpot's programme expects that person to exist. A partner makes sense when nobody has ten hours a week spare, or when your processes need designing before anything is configured.
We already set HubSpot up ourselves. Can you fix it?
Yes, and it is a common starting point. We audit what is there, keep the configuration that works, and rebuild the rest around how your business runs. That is usually faster and cheaper than starting from an empty portal.
How do you get our team to actually use HubSpot?
Adoption is designed in, not trained on at the end. Your teams are involved as the process is built, so the system reflects how they work, and we monitor adoption after go-live. A live portal nobody works in is the most common way onboarding fails.
Can you onboard us and migrate our data at the same time?
Yes. Migration always includes onboarding, because moving the data is only useful if the team then works in the system. If you are coming off another CRM, start with our HubSpot migration service, which covers the data model, the record migration and the reconciliation.
What size of business do you work with?
Small-to-medium B2B companies with meaningful sales complexity, typically 50 to 500 employees, though there are no hard limits. The common factor is a business where growth has outpaced the systems supporting it.
